Excel or CRM: when should you switch?

A spreadsheet can fit a small team and simple flow. CRM becomes useful when each customer needs a shared history, an owner and a next step.

Signs a spreadsheet is no longer enough

The issue is process visibility rather than row count alone. If two staff call the same customer or nobody follows an offer, define responsibility and rules. Record actual incidents before selecting software.

When Excel can remain

With low volume, clear ownership and consistent use, improving the spreadsheet may suffice. Standardize fields and update rules. Installing CRM over an unclear process can move the same issues to another interface.

Start with contact, enquiry, owner, stage and next activity. Distinguish contacts from sales opportunities. Define basic reports so staff know which information matters. Connect website forms once assignment rules are clear.

Remove duplicates, normalize phone numbers and define required fields. Keep original file copies. Import a sample and review links and unsupported data. Old notes do not automatically become a structured history.

Include licences, configuration, import, integration, training and support. Compare configurable and custom CRM by rules, roles and interfaces. Check that staff can use it during normal work without unnecessary steps.

Track assigned enquiries, overdue activities and completed fields. Compare response times and missed follow-up. Expand automation after consistent use; purchased feature counts alone do not show value.
