Website and CRM integration: cost and steps

Integration sends website enquiries into a process your team can follow. Define fields, ownership, duplicates and errors before connecting the form.

The first phase

A starting flow can create a contact and enquiry, retain its source and assign an owner. Visitor confirmation and team notification have different purposes. Define when an enquiry is accepted and how transfer failures are reported.

  • Form → validation → CRM enquiry
  • Enquiry → owner → notification
  • Discussion → offer → outcome

Map fields and rules

Map names, contact information, service and message to CRM fields. Decide whether an existing customer’s request creates a new opportunity and how to recognize a retransmission of the same enquiry.

Duplicates and failed transfers

A request identifier helps avoid duplicate creation on retry. Define retries, error notifications and unprocessed-enquiry review. Matching a contact by phone or email must reflect business rules: one contact can make separate requests.

Configured or custom CRM?

A configurable product is useful when its features fit your sales process. Check the API, subscription plan and limits. Custom CRM can handle special rules but adds development and maintenance. Connecting a website and building a CRM are distinct scopes.

What does integration cost?

Sending a form differs from bidirectional customer and order synchronization. Midavco’s €7,000–15,000 connected-process category is not the mandatory price of an isolated integration, which may cost less. API capabilities, data and workflows determine a quote. Clarify licences and maintenance separately.

Before a quote

Prepare the CRM product and plan, form fields, sales stages and responsible team members. Use test data for new contacts, existing customers, retransmissions and API failures. At handover, staff should know how to follow enquiries and resolve errors. Extend after the first phase is consistently used.
